Raising visibility of Euro-BioImaging at Node hosting institutions

Within the framework of the EVOLVE Project, Euro-BioImaging would like to invite our Node institutions to collaboratively organise strategic events to raise the awareness of imaging technologies, international collaboration and Euro-BioImaging overall.

Background

The EVOLVE project is a Horizon Europe project, co-funded by the European Commission, in order to support the development of Euro-BioImaging and raise its visibility with stakeholders. One key stakeholder group with whom we aim to raise visibility in the EVOLVE project is Node hosting institutions and the local communities where Euro-BioImaging Nodes are located.  We would like to invite our Node institutions to help us organise strategic events within the framework of the EVOLVE project. We believe co-organising events together with our Nodes focusing on key audiences such as the general public will be very effective in raising the awareness of imaging technologies, international collaboration, and Euro-BioImaging overall.

Call Conditions

Activities supported: This call will support events organised  in collaboration with Node staff to engage with the local community/general public (ie. European Researcher’s Night, Science Night, Lab Day, school visits, etc.). Events may be face-to-face or hybrid and should be designed to involve the local hosting institute (communications department, PR, press offices), and the local community. The target audiences for the events supported in this call are the general public (i.e. citizens, families, colleagues from other departments, and high school, middle school or elementary school students). EVOLVE will seek to select events that demonstrate the important role that imaging technologies and international collaboration play in resolving societal challenges (e.g. health, food security, climate, environment, or discovery science) and raise the visibility of Euro-BioImaging ERIC and the local institution and Nodes’ engagement with the infrastructure. 

Applicants: Applicants must be working at a Euro-BioImaging Node or associated with the communications department or equivalent department of a Node hosting institution. Each proposal must identify a key contact who would be responsible for the event. A letter of commitment (Template available here) to carry out the event with support from EVOLVE is required from a senior manager or director as part of the proposal. 

Budget: A total of 10,000.00 Euros is available. Applications may request up to 5,000.00 Euros in support from EVOLVE, although applications with smaller scopes requesting commensurate smaller budgets will be equally considered. Funding may be used for:

  • printing of communications materials,
  • working with the institution’s press department,
  • paying for goodies, games, interactive tools for the target audience or other give-aways needed for the event,
  • and catering, A/V or room rental costs.

If you have other ideas or needs for your event, please reach out to us ahead of the deadline so we can discuss in a timely way if they would be eligible for reimbursement/funding within the scope of this call at communications@eurobioimaging.eu.

Evidence for costs must be provided in the form of bills for direct costs and/or invoices for reimbursement. Anything that is to be reimbursed or paid in full needs to be accompanied by a receipt. Banking information of the account to be credited must be provided. Receipts must include the VAT number of the service provider. For events with registration, a GDPR-compliant attendee list must be provided. If your project involves working with a third party such as a caterer, printer, graphics agency, etc, …Euro-BioImaging can pay directly to the service provider. Please allow sufficient time for processing (1 month).

Duration: Events must be carried out by 30 October 2026 at the very latest. All project proposals must include a timeframe, even if tentative. Completed events must provide a full report (including photos, links to social media posts, proof of goodie/app/game creation) to the EVOLVE events manager by one month after the conclusion of the event.

Assessment and Selection

Proposals will be evaluated by the EVOLVE Event Selection Committee formed by Euro-BioImaging Hub staff and Euro-BioImaging Scientific Ambassadors. The Committee will evaluate the proposals according to:

  • Value to  Euro-BioImaging/EVOLVE and as useful local outreach events to the Node communities 
  • Event novelty and impact (consequent to its scale) 
  • Ability of the event to mobilise the target audience and spread relevant messages about imaging and international collaboration as well as Euro-BioImaging ERIC  

Furthermore, a distribution throughout Europe and diverse subgroups of target audiences will be considered as part of the overall scope of the Events programme.
